Office Hours

Our regular office hours are:

9:00 am - 5:00 pm: Monday - Friday
9:00 am -12:00 Noon: Saturdays

Our office is closed for lunch from 12:15 - 1:30 pm.

Appointments

To be certain that we set aside sufficient time for your appointment, a receptionist will ask several questions about the nature of the problem or illness. Please understand that they are not inappropriately prying -- the information they obtain is vital to scheduling your appointment.

We make every effort to see our patients on time. An emergency may occur and some appointments may take longer than expected. Please be understanding if this should happen. We will do everything possible to expedite your visit.

If you cannot keep an appointment, please let us know as soon as possible and we will reschedule your visit. If you do not cancel an appointment for a well-child physical examination or an initial ADD/ADHD evaluation at least 24 business hours prior to the appointment, you will be charged and responsible for a "no cancellation" fee of $75.00.

Routine physicals should be scheduled from four to six weeks in advance. Please remember that many schools require physical exams for general admittance and/or participation in school-sanctioned sporting activities. By reviewing school calendars and scheduling these appointments well in advance, you can avoid a last minute rush.

If your child becomes acutely ill, we will schedule an appointment based on urgency. We understand that illness is never convenient. For any ailment requiring immediate attention, please call us before coming to the office and we will arrange for you to be seen as soon as possible.

Insurance carriers require updated paperwork. If you have a change of address or have changed insurance plans, please arrive at least 10 minutes early so that we may update your records.

Prescription Refills

The best way for you to receive prescription refills is for your pharmacy to call us during regular office hours. The physician will review the request and authorize the pharmacy to refill the prescription or advise you to contact the office. We refill prescriptions only during regular office hours when your records are available to us. Please plan ahead so that you have enough medication.

After-Hours Care

Our on-call pediatrician can be reached after hours and on weekends. After 10 pm, calls are screened by Children's Hospital After-Hours Nurse Service.

Please save routine questions about mild illnesses, prescription refills and appointments for regular office hours.

Insurance

At Child First Pediatrics we accept many insurance plans. Please check with your insurer directly to determine whether Dr. Caplan or Dr. Kalan is listed as a participating provider with your particular insurance plan. For your convenience we accept cash, checks, Visa, MasterCard, American Express and Discover.

We are required by your health insurer to collect any copayment due at the time of service. If you are unable to make your copayment, you will be charged an administrative fee of $25.00 in addition to the amount of your copayment.

Many patients have health insurance which provides benefits for certain medical expenses, although very few policies cover all medical services. The health insurance policy is a contract between the policyholder and the insurer, and health insurance does not relieve the patient of financial responsibility for services received.

For your convenience, we automatically complete and submit health insurance claim forms to your primary insurance. We do not file secondary insurance claims. If your insurance pays benefits directly to the provider, you will not receive a statement until we have received the insurance payment -- and then, the statement will be only for the remaining balance. You will not receive a statement if the insurance payments result in a zero balance.

If your insurance pays benefits directly to you rather than to the provider, you will receive a monthly billing statement. You are expected to pay promptly upon receipt of your insurance payments.

Charges not covered by insurance are your obligation.

Credit Policy

All charges are due and payable in full within 30 days of the billing date. We accept cash, checks, Visa, MasterCard, American Express and Discover.

Special arrangements may be made for extended payment plans depending on the amount of the balance due and your individual financial circumstances. We encourage you to discuss payment plans with the Patient Account Specialists in our Billing Office.

Accounts may be referred to a collection agency or for legal action if the financial obligations cannot be resolved.
